About the Job

The Project Coordinator is a key part of the sales team and serves as the primary interface between Northwest Pipe Trenchless and other Northwest Pipe divisions to ensure that the right products are delivered to the customer at the right time. The project coordinator has the principal responsibility, once a job is sold, to coordinate the manufacturing and delivery of the products to the customer in a timely, accurate and efficient manner.  The overarching goal of the PC is to ensure that our customers receive the best possible customer service experience.  The PC is also a key member of the sales team and works closely with sales to prepare quotes, perform takeoffs and any other duties that are required to achieve customer satisfaction.

Essential Functions & Major Responsibilities
  • Knowledgeable of trenchless pipe products and can provide guidance for customers inquiries.
  • Provide Permalok pipe costs to the Permalok Sales team as requested in a timely manner.
  • Enter quotes into the PTS/Sales Recap sheet and keep systems updated with the quotes and project status.
  • Input Permalok orders into Track.net – Receive and review project information (Signed Quotes, Project Data sheet, Customer PO, SAP Order, Credit application, Product drawing)
  • Upon receipt of an order from a NWP Trenchless salesman, the PC assumes responsibility for that order until it is delivered to the customer.
  • The PC will initiate contact with the customer for details on the product specifications, delivery location and schedule. The PC accurately inputs the order into Track.net and coordinates with Sales and Production to assure the customer’s needs are met.
  • Review the Bill of Materials (BOM) for accuracy and completeness.
  • PC will contact customers to define submittal requirements, manufacturing requirements, construction sequencing and delivery requirements, then meet with scheduling, production and dispatch to assure that the customer’s needs are met.
  • Working closely with others in a team environment
  • Generate agenda notes and distribute after the sales meeting
  • Stay in contact with the customer with any updates on the progress of the purchase order.
  • Keep Sales updated on how the order is progressing.
  • Review daily bidding opportunities in Dodge/CIVCAST
  • Maintain/organize quotes and submittals in the sales drive
Knowledge, Skills & Abilities

To perform the duties and responsibilities of this position successfully, individuals must:

  • Familiarity with NWP Trenchless product line and production capabilities.
  • Customer oriented with ability to relate with customers in a calm, professional manner.
  • Detail oriented
  • Excellent verbal and written communication skills.
  • Prioritize and manage multiple tasks and projects effectively and efficiently
  • Possess basic math skills
  • Possess the ability to effectively work with varying personality styles
  • Must be agile and able to change directions easily and professionally.
  • Intermediate skills working with computers and software packages such as, Outlook, Word, Power point and Excel.
  • Communicate clearly and concisely both orally and in writing with clarity and professionalism.
Education/Experience
  • Experience in heavy civil construction/Trenchless preferred
  • Minimum of two years of experience in office administration, construction administration preferred
  • Associate’s degree (or equivalent) in relevant field
  • Must have a positive attitude
  • Ability to manage multiple tasks simultaneously
  • Well-organized with attention to detail
  • High energy, self-motivation, and personal integrity
  • Excellent written and oral communication skills
